How to prepare for moving the office?

Smooth arrangement of office removal is very important – the company that does not work, does not earn money as well. We give some recommendations to help you organize the removal better and with careful consideration.

Preparation

Planning and preparation are the most important factors for the removal to be successful. The aim of the preparation is to ensure that moving process would be quick and possibly cost-effective. What to do for that?

Store packing material or a removal company on this issue.
Inform your personnel of their part in the moving process.
Get the floor plan of the new office and consider the placement of furniture and work places.
Conclude already beforehand the necessary communication agreements and consult the service provider in order to have as little communication interruption as possible.
Prepare a work schedule for the works to be done before the removal and on the day of moving – write down on the paper everybody’s tasks and make sure that everybody understands their tasks – both the employees as well as the moving company and lessor.
Inform the customers and cooperation partners already beforehand of the address change and apologize in advance for the possible communication problems on the day of moving.
Provide enough keys and access cards of the new office.
Order already earlier leaflets and business cards with the new address so, that you would not give the customers old information
Get acquainted with the removal procedure of your office building. Just in case, consult the house manager.

Packing

Tables, drawers, shelves and file cabinets have to be emptied.
Drawers and lockers should be locked or fastened in any other way.
Empty the water kettle and coffeepot and other vessels containing liquid.
Office equipment should be packed in original packages if possible. Remove toner from the printer before moving as shaking it does not do any good.
Easily breakable items should be packed carefully and the packages should be labelled accordingly.
Order journals to the new address and arrange transfer of the post in the post office.
Consult the moving company how to label the inventory being moved. If you do not use any help from outside, agree a consistent system. You have to take into consideration that:
– instead of writing “Mari’s things” on the box, put the room number on the box or place reference mark on the office plan where the items should be taken to. Number the work places and write the numbers on the sides of the boxes not on top.
– Dismantled furniture has to be marked in an understandable way, so that the office desk or locker would later be assembled of the same parts.
– The things that have to be left in the old office mark with a label “not to move”.
